Insight into production, sales and invoicing within 4 days

Cyclotron produces and develops radioactive material for medical applications. The products are used in Oncology, Neurology and Cardiology. The current reports are often in Excel and they are time-consuming. The organisation is missing insights into the production and financial performance and wants to know if Power BI is the right tool to generate that insight.

Objective: No more time-consuming Excel reports and integrated insight into the various processes. Cyclotron wants to know the relationships between the budgets, the actual production and eventual invoicing.

KPI Dashboard for a helicopter view

In order to manage on the figures, we always develop a KPI dashboard that answers the most important management questions. For Cyclotron that was a combination of financial, production and logistics KPIs.. For example, Cyclotron can see their current position 24/7 and is able to answer questions, such as:

  • Leveren we de producten op tijd?
  • Factureren we alles wat ook geproduceerd wordt?
  • Hoe ver zitten we qua omzet van de target?
  • Hoeveel hebben we tot nu toe geproduceerd?

Underlying the KPI Dashboard, there are the detailed reports where you can zoom in on the data, trends and developments.

Turnover overview Dashboard

The turnover overview Dashboard provides insight into the sale performance and turnover development, per year. With the reports you can zoom in on different periods, at the top you see the progress of turnover by month. Then you can zoom in further to day level.

Bottom left there is an overview of the top 10 clients, in the current selection of the year 2019. The report is interactive, or rather, when you make a selection in another part of the dashboard, this selection translates automatically to the other overviews. It means you can see the top 10 of clients for the whole of 2019, but also for a specific month.

Due to the high level of detail of the data, Cyclotron is able to trace turnover back to specific production batches. That may be a trigger for zooming in further to production level, in order to find out why a specific period has a relatively low turnover per batch compared to other periods.

Productie is de core-business van Cyclotron. In order to manage the business properly, they need to have sight on the relationship between the budgets, actual production and eventual invoices at all times.

With this overview, Cyclotron can see instantly which percentage of production has been invoiced, the success percentage of the production, and the success percentage of the delivery times. It is also possible to zoom in on a period or a client. As well as tracing whether there are certain clients where the delivery is late more often. That provides handles and insights for looking at the planning of the logistics department. At invoice level it is also possible to zoom in on the client, to see whether the back office still has some work to catch up on.

Production at batch level

Due to the high level of detail in the data, there is an opportunity to zoom in on the production process at batch level. On that basis it is possible to see how much has been produced, how much of it was suitable for sale, what was ordered, and how much was delivered.

The scatter plot bottom right shows that there is a fairly linear ratio between production and invoicing. That means that as a batch becomes bigger and generates more production, this does translate into invoicing. The odd outliers can be selected interactively to explore that specific batch to see what happened exactly.

That produces complete insight into finance, production, sales and logistics deliveries. All with an interactive dashboard.
